The same onboarding as a single winery (one folder of brand assets and a catalog spreadsheet) tuned for portfolio scale. Hundreds of SKUs are welcome, reps get their own doors in, and if procurement prefers the AI spend on your own account, you can bring your own keys. The build is ours; live the same week.

The checklist

What we need from you.

  1. One tenant, or one per label

    A tenant is a complete skin: its own subdomain, palette, logo, and catalog. Run one house-brand tenant across the whole book, or give a flagship label its own. Each label’s members see only that label’s world. Multiple tenants sit under one Portfolio contract; tell us the shape and we’ll scope it on the call.

  2. Brand assets, per tenant

    For each tenant: a palette (sixteen color slots: hex values or a brand guide we draft from), a PNG/JPEG/WebP logo under 200 KB, and a one-line login tagline. The core text-and-background pairs are contrast-checked against WCAG AA before launch. Failing colors come back to you with passing shades proposed.   3. Persona: most distributors skip it

    A named voice suits a tasting-room brand; a trade tool usually reads better clean. Persona-free drops the name and the mascot chrome and keeps the same structure-first pairing brain. Either way it’s data, changeable later, up to 40 characters if you name one.

  4. Voice notes

    Up to 1,000 characters of house style: trade-facing or consumer-facing, formal or warm. Notes tune emphasis and vocabulary; they can’t override the tasting method or the honesty rules.

  5. The portfolio catalog

    Same eight-column spreadsheet as every partner, sized for a book: export it from your ERP or price file, hundreds of rows are fine. Template here. Every recommendation is verified server-side against a catalog row. The AI cannot invent a SKU, a vintage, or a price.

    Updating is a full-list replace: send the refreshed export and it swaps in whole, which makes a recurring ERP export the natural sync, no diffing on either side.

  6. Rep & customer access

    Reps and customers sign up directly on your subdomain, everyone attesting they’re of legal drinking age, reps included. For cohorts (“the spring sales class,” “top accounts only”) we can mint invite codes, each with a use limit, and able to grant time-boxed trial access.

  7. Bring your own AI keys (optional)

    By default the sommelier runs on our Anthropic account, included in the tier. If procurement prefers the model spend on your paper, we can point your tenant at your own Anthropic key instead, stored encrypted (AES-256-GCM), write-only from the console, decrypted only at call time. OpenAI and Gemini are supported by the architecture, and we validate them with you before your launch.

  8. Your admin & the credit line

    One person per tenant gets the usage dashboard: requests, tokens, and response times by feature, aggregate only. They’ll receive a single-use setup link (14-day expiry); the admin guide is their orientation. And tell us your “Powered by Wine Hound” election, set per your contract.

What your reps actually get

Ask-anything pairing from your book alone, with the structural why spelled out in plain English (acid, tannin, weight, sweetness) the way your best rep explains it. Event planning that builds a dinner or a tasting around portfolio bottles, and printable, branded event kits for account dinners and trade tastings. It recommends; the selling stays yours.
